Why a printer shows "offline" when it is clearly on
"Offline" is your computer's or phone's way of saying it can't reach the printer right now. It does not mean the printer is switched off. In home setups, the cause is usually one of five things:
- The printer dropped off Wi-Fi. A power blip, a router restart, or a weak signal can disconnect it, and some printers don't reconnect on their own.
- The printer's address changed. Routers hand out IP addresses automatically. After a restart the printer may get a new one, while your computer keeps looking for the old one.
- You're on a different network. Guest networks, a separate 5 GHz network name, a phone hotspot, or a VPN can all hide the printer.
- The print queue is stuck. One failed job can block everything behind it, and Windows may then mark the printer offline.
- The printer has its own error. A paper jam, an open cover, or an ink or toner problem can make the computer report "offline" instead of the real error.
That's why the checklist starts with the printer itself, then the network, then your computer's settings, and only reaches drivers and updates near the end. Most offline problems are fixed in the first few steps.
Prevent it from happening again
- Reserve the printer's IP address. In your router's settings, look for DHCP reservation (sometimes called a static lease or address reservation) and assign one address to the printer. This prevents the most common repeat cause.
- Keep it on your main network. Not the guest network, and not a network your computer rarely uses.
- Give it a good signal. Printers often sit in corners, basements, or home offices far from the router. If it works only when you move it closer, the spot has weak coverage.
- Update from official sources only. Download drivers and firmware from the manufacturer's own website.
A note on printer "support" phone numbers
Printer searches attract fake support pages that list phone numbers that don't belong to HP, Canon, Epson or Brother. Use only contact details you find on the manufacturer's own site, which are linked in the results above. Never give remote access to your computer to someone who contacted you unexpectedly. This page doesn't list any phone numbers.
Frequently asked questions
Why does my printer say offline when it is turned on?
Offline means your computer or phone cannot reach the printer, not that the printer is off. The most common causes are the printer dropping off Wi-Fi, the printer getting a new IP address after a router restart, being on a different network (such as a guest network), a stuck print queue, or an error on the printer itself such as a paper jam.
Do I need the HP Smart app or an HP account to print?
For most HP printers, no. Windows can add the printer from Settings, and Mac, iPhone and iPad can print with AirPrint on supported models. The exception is HP+ printers: HP states that HP+ requires an HP account, an internet connection and Original HP Ink for the life of the printer.
Why did my printer go offline after I got a new router?
The printer still remembers the old network name and password, so it needs to be connected to the new network. Some printers also only support 2.4 GHz Wi-Fi, which can cause problems with routers that combine 2.4 GHz and 5 GHz under one network name.
How do I stop my printer from going offline again?
Reserve the printer's IP address in your router (DHCP reservation), keep it on your main network rather than a guest network, place it where the Wi-Fi signal is strong, and install firmware and driver updates from the manufacturer's official website.
Should I call a printer support phone number I found online?
Only use contact details found on the manufacturer's own website. Fake support numbers are common in printer search results and pop-ups, and real manufacturers will not ask for remote access to your computer through an unsolicited call.
